This guide provides step-by-step instructions on how to export and import client data using BrightPay and BrightManager. Whether you are transitioning from another software or need to back up your data, these steps will help you manage your client information efficiently.
Exporting Client Data
Exporting client data is essential for backup purposes or when transitioning to a different system. Follow these steps to export your client data:
If you have moved to another provider or require a full data export of your BrightManager account, you can request for a comprehensive export of all data. This includes documents held in every client's portal space, custom forms, notes made in the timeline area, and any other data stored within the system. To initiate this process, contact customer support and provide your email address. Upon approval, you will receive a text and email with a link to download your data. Note that the export will be sent as a zip file, containing folders and Excel documents.
Step 1: Access the Client List
- Navigate to the Client List: Open BrightManager and go to the Client List section.
- Select Columns: Click on the "Columns" button at the top right to choose the data fields you want to export, such as name, address, DOB, and UTR.
Step 2: Export Data
- Press Export: Once you have selected the desired columns, press the "Export" button at the top right of the Client List.
- Save the File: Choose a location on your computer to save the exported CSV file. This file can be used for backup or to import into another system.
Importing Client Data
Importing client data allows you to efficiently set up your clients in BrightPay or BrightManager. Follow these steps to import your data:
Step 1: Prepare Your Import File
- Use CSV Format: Ensure your client data is in a CSV file format. This file should include all necessary fields such as name, address, and other relevant information.
- Match Columns: Make sure the columns in your CSV file match the required fields in BrightPay or BrightManager.
Step 2: Import Data into BrightPay
- Go to Import/Export Function: In BrightPay, navigate to the "File" menu and select "Import/Export Data."
- Select Import Option: Choose the option to import clients and follow the prompts to upload your CSV file.
Step 3: Import Data into BrightManager
- Navigate to Tools: In BrightManager, go to "Tools" and select "Import Clients."
- Upload CSV File: Follow the instructions to upload your CSV file. Ensure that all data fields are correctly mapped to the corresponding fields in BrightManager.
Important Note: It is not possible to update client data via a client import, as this will instead create duplicate clients. Please contact support regarding bulk client updates.
Troubleshooting Common Issues
Issue 1: Import Errors
- Check Column Matching: If you encounter errors during import, verify that the columns in your CSV file are correctly matched to the required fields in the software.
- Review Data Format: Ensure that all data is formatted correctly and that there are no missing fields.
Issue 2: Export Permissions
- Account Permissions: If you are unable to export data, check with your account manager to ensure you have the necessary permissions to perform exports.
Issue 3: Data Not Appearing
- Integration Limitations: Note that there is no integration between BrightManager and BrightPay, so data must be set up separately in each system.
