Bulk Actions
You can now complete these 3 Actions on Bulk in the Task List.
- Complete selected
- Reassign selected
- Add Progress Note(s)
In order to action any one of these 3 actions follow the below instructions.
- Select one or more task by checking the check box
- To select all tasks check the box in the header
- Click the “Bulk actions” button
- Select “Complete selected” or “Reassign selected” or "Add Progress Note(s)
- Once you have selected the Bulk Action you want to perform you will be presented with a different pop up screen for each one
Complete selected - You will get a pop up message action you to confirm if you would like to go ahead and complete all the tasks selected.
Reassign selected - You will get a pop up message so you can select the new Staff member you want these tasks assigning to.
Add Progress Note(s) - You will get a pop up where you will be able to type in the progress note and Notify a staff member if needed and then Publish this Progress note on bulk to the selected Tasks.
Latest actions
The “Latest action” column allows you to update the status of your tasks.
Manual tasks only have two statuses: No Progress & In Progress.
Workflow progress
This column will appear if you have workflow enabled in your Account Settings.
The workflow progress bar shows you the progress of the active workflow group.
Hover over the workflow progress bar to see the active workflow group deadline.
Target Date and Deadline Date
The Target Date and Deadline colour changes when they are close to the due date or are overdue.
- Yellow: target/deadline date is within 30 days
- Orange: target/deadline date is within 10 days
- Red: imminent - target/deadline date is the current date (i.e. today)
- Black: overdue - target/deadline date is earlier than the current date
Time Log / Time recording
Click on the clock button to log or record time.
The Time log modal will pop up with the client’s name and task name populated.
To create a time log, enter a duration (and more details if you wish) and simply click on the “Finalise” button. The time log will appear on your timesheet.
To record time click the “Update” button.
- The time recording will pop up
- Click on the play button to start/continue recording time against the selected task
Hamburger menu
Click on the hamburger menu to take the following actions for the selected task:
- Edit task
- Reassign Task
- Create an invoice
- Email the client
- Upload document
Completing a task
To complete a task, click on the “Complete” button for the respective task.
Select “Complete” to complete the task or “Complete & Notify” to notify a staff and/or the client of the completed task.
Side Panel
The side panel displays more task details for the selected task.
To open the side panel for a task, click on the task name.
Workflow
You can attach a workflow to a task by selecting one from the dropdown or create a new workflow template.
If you have a workflow attached to the task, the side panel displays the workflow details first.
- Update the status of the workflow step by using the highlighted progress bar.
- This will also be reflected in the “Workflow progress” column on the task list.
- Once all the steps in the active workflow group are marked as “Done” (Green) or “N/A”, the next workflow group will appear if applicable.
Workflow actions
To remove a workflow from a task click on the “Remove workflow” button.
Click on the “View” button to view the entire workflow.
To edit the workflow click on the edit button
Details
The “Details” tab displays all the details regarding the selected field.
Progress notes
View and add progress notes within the progress notes tab.
