Overview
In some cases, a staff member may need access to the portal before the main client contact (typically the director) has registered. This article explains how to handle such situations, including registration order, account types, and how the Letter of Engagement (LoE) is impacted.
Option 1: Add the Staff Member as a Manager
If the staff member simply needs access to the client file (without being the client contact themselves), you can add them as a manager. This allows them to access the file even if the director is not yet registered.
Option 2: Add a Client Account for the Staff Member
If the staff member must be set up with a client account (for example, to sign documents), you can create one using a different email address from any that may be used later by the director. This allows them to access the portal independently of the director's registration.
Option 3: Add a Secondary Contact First
If you're adding a secondary contact (not a staff role), you can register that contact first. The director can be registered afterward. This works due to how the system is structured — the secondary contact can act initially
Important Considerations
-
Staff roles are not considered client contacts, so they do not appear on the client file in the same way.
-
If you register a staff member or secondary contact first, you must ensure their email address is unique and not shared with the main contact.
-
If a LoE is required to be signed, only users with proper contact roles (typically the director or designated signatory) can complete it.
