To set up automated Records Requests navigate to Settings > Automation Settings > Requesting Records. Tick on Automatic Records Requests and add comma separated days for the service you want to send records requests for, then click Save Settings
You can hover over the tooltip next to each request to see what date field is used for this request
The settings under Settings > Automation Settings are global so they will be applied to all clients. You can customise Records Requests further though.
You can view and amend the template used for this email request by navigating to Settings >Templates > Automated Record Requesting and locating the template that relates to the service.
Now that records requests have been enabled if you navigate to a client's file you will see their Automation Tab, you can click this tab to see when these emails are due to be sent, and customise the request further
Here you can turn off the request for this client by unticking Enable Automatic Emails for this service.
By default the request will be sent to the Main Contact. If the client is a Limited Company client, on the client file under Company Details > Company Email you can add more than one address as long as they are separated with a comma, the details in this field will be used when sending automated emails. If the client is a Partnership a similar field can be found under Business Details > Partnership Email. On the Automation Tab though you can have a completely separate email address entered for a particular Records Request.
You can add or remove days for this client, once you have customised these days this client will no longer be affected by changes to the global settings.
You can create a custom template to use in place of the standard temple, this is useful for example if you need to request something specific for example you may have a Self Assessment client with rental income.
To create a custom template navigate to Settings > Templates > New Template > Custom Automated Email Template. You will need to enter a Template Name and the draft the contacts of this request. On the right of the page you'll see the Client Variables section, you can click this section to expand it and find variables that will automatically add data from the client's file to this email
Once you have saved this template navigate back to the client's file and click their Automation tab, then select your template from the Custom Template dropdown
Once you are happy with the customisations click Update Automation
Automated records requests will be generated from 5pm the day before they are due to be sent, the send time will be set 24 hours after the email is generated to give you the opportunity to check the emails before they are sent to your client.
These emails will not be sent automatically at their send time if your Queue is paused.
