From your Client, Prospect or No Longer a Client List you can email all clients on this list or filter the list to target clients that have something in common, you can also include an attachment.
Adding an Attachment
To add an attachment click Resources at the top of the page then click New Resource. Under Attachments click Add files to add your file then click Save Resource.
*If you do not have the Resources header at the top of the page this will be because you've opted to hide this feature. To unhide the feature navigate to Settings > Account Setting > Hide Unrequired Features untick Hide Resources Section and click Save Settings.
If you do not have access to Account Settings you will need to contact your account admin to adjust this setting.
You do not have to include an attachment when emailing all clients, this step is optional.
Filtering Your Client List
Navigate to Prospects > Client List or No Longer a Client depending on which list you want to send the email to.
Click the Quick Start section to expand it and click Add Filters, here you can search for a field to filter your list by.
For example you could search for VAT Return Service (Yes/No) and select yes to see just your clients with the VAT service. You could then click Add Filter again and this time search for VAT Period End (Date) and select equals to filter the list further for clients you provide the VAT Return service for with a particular period end. Once you have applied your filters when you click Email All and just the clients you have filtered for will be ticked to receive the email.
You do not have to filter your list when emailing all clients, this step is optional.
How to Email All
Hover over the Clients header and select Prospects > Client List or No Longer a Client depending on which list you want to send the email to.
Once the list loads click the Email All button at the top right of the page and you'll be presented with a pop up. At the top of this pop up you can click Show Filtered Email List to see who this email will be sent to. When you click Show Filtered Email List you can see that although the list includes all clients on your database, just the clients available on this list are ticked to receive this email, here you can also adjust who will receive this email. You can click the Remove Duplicate Email Address button to ensure each contact only receives your email once.
You can set the Time Between Messages in seconds at the top of the pop up, setting time between messages stops your email server sending the messages too quickly as some server may block the sending of mass messages if the send time between them is too short.
If you with to add an attachment click the filed labelled Attachment(s) and select your Resource from the dropdown.
If there are a lot of emails it may take a few moments for them to generate, you will be sent a Notification when they have been successfully generated to your queue, this can be viewed by clicking your Notification bell at the top right of the page.
* If the email all button doens't appear on the Prospect, Client or No Longer a Client List this will be because you do not have permission to use this feature, you will need to contact your account admin to adjust this setting.
