Navigate to Clients > New Client, or from the Client List click New Client.
Under Required Information Select your Client Type:
If you are adding a UK Limited Company you can use the Autofill with Companies House feature to search for the company, and this integration will auto populate the following fields for you:
- Required Information > Name
- Company Details > Company Number, Incorporation Date, Registered Address, SIC Code
- Main Contact > First Name, Middle Name, Last Name
- Accounts and Returns Details > CH Year End, HMRC Year End, CH Accounts Next Due, CT600 Due
- Confirmation Statement > Confirmation Statement Date, Confirmation Statement Due
If you are adding an Irish Limited Company you can use the Autofill with CRO feature to search for the company, this integration will auto populate the following fields for you:
- Required Information > Name
- Company Details > Company Number, Incorporation Date, Registered Address,
- Accounts and Returns Details > CRO Year End, Revenue Year End, CRO Accounts Next Due, Corporation Tax Due
- Annual Return > Annual Return Date, Annual Return Due
Under Required Information the staff user named as Client Manager will receive Notifications in AccountancyManager relating to changes made to this client's file, this client Tasks and they will receive email notifications when the client e-signs a document.
You will need to add at least a First and Last Name to the Main Contact section in order to save the newly added client.
If you are adding a Private or Public Limited Company, Limited Liability Partnership, Partnership, Trust, Charity, Other, Irish Partnership or Irish Other client then under the Main and Secondary Contact sections you will have the option to set the contact up with a Self Assessment client file too:
If you tick Create Self Assessment Client a Self Assessment client file will be created for that contact, you can also add the Fee here for doing their Self Assessment and this will be added to the SA client file too. When you send the proposal for the Limited Company, Trust, Charity etc, this Self Assessment service and figure will be included in the proposal email so the contact can see their fees in one proposal.
The Client Does Their Own SA field is just for your reference, and this information can be filtered for on your Client List.
To generate Tasks for your client navigate to Services Required and tick on the services you supply them with, these and any fees added will also be added to the proposal email if you choose to send one.
The under the relevant section add the frequency, period end and deadline for this service. for example if you file their VAT Return, under Services Required tick on VAT Returns, then under the section VAT Details select a VAT Frequency from the drop down, and add dates to the fields VAT Period End and Next Return Due.
You can choose what staff member will be assigned to these tasks by navigating to Staff Tasks. When a task is generated this field is used to confirm who will be assigned to the task for this client.
Navigate to the Registration section, if you are adding a prospect leave Terms Signed/Registration Fee Paid unticked, and the field Letter of Engagement Signed blank. As the client hasn't signed terms they will be added to your Prospect list, and when they come to register for the portal the will be asked to sign an LoE because no date has been added to indicate they have signed one previously.
If this client isn't a prospect, tick Terms Signed/Registration Fee Paid and they will be added straight to your Client List. If they have an LoE in place already you can add the date it was signed so they are not asked to sign another when registering.
Once you are happy with the details you have added click Add Client at the bottom right of the page to add your new client. You can also create an Onboarding task when adding your client by clicking the arrow on the Add Client button, to find out more read our Client Onboarding Workflow article.
